This article will provide ways to deal with unexpected behavior among Zoom meeting participants.

Please immediately install updates if prompted to do so by Zoom. The company regularly releases patches to address any security concerns.

Instructions

Removing Uninvited Participants

Due to the increased global popularity of Zoom in these times of remote work, some people are taking advantage of unsecured Zoom meetings to drop in, promote their social media or businesses, share inappropriate materials, and just generally cause trouble. Be prepared to handle this situation using the following steps.

  1. Click Manage Participants.

  2. Hover over the participant’s name and click More.

  3. Click Remove to remove the participant.

Stopping Participants' Screen Sharing

  1. Click View Options at the top of your screen.

  2. Click Stop Participant’s Sharing in red text at the bottom of the resulting menu.


Preventative Actions

There are some options available when you schedule a meeting that can help prevent these incidents.

Enable Waiting Room

This is the most effective preventative measure. By selecting Enable Waiting Room, you will need to manually allow each participant into the meeting as they join.

Password

If you add a password to a meeting that is already scheduled, the meeting URL will change. You will need to copy the meeting invitation and share it with participants again.

You can set a password which is required to join the meeting, preventing anyone who doesn’t have the password from joining. You will need to distribute this password to all meeting participants beforehand.

Do Not Enable Join Before Host

Please do not enable join before host, as this allows people access to the meeting when it is not actually occurring.


In-Meeting Controls

When the meeting is active, you have access to controls which define what participants are able to do.

Chat

  1. Click Chat.

  2. Click More.

  3. Scroll down to find Allow Attendees to Chat With.

  4. Choose from No one, Host Only, Everyone Publicly, or Everyone Publicly and Privately.

Participant Audio and Video

You can Mute or Unmute all participants at once in the Manage Participants screen.

You can also click More and then uncheck Allow participants to unmute themselves so that only the Host (or Co-Host) has the power to unmute participants.

  1. Go to Manage Participants.

  2. Find the participant name you want to change permissions for, then click More over that participant’s name.

  3. Click Mute/Unmute to toggle muting for the individual participant, or Stop Video to disable that participant’s video feed.

Unfortunately, Zoom does not allow you to preemptively disallow a participant from enabling their video feed at this time.
