Monitoring Course Evaluations

This article summarizes the features available to you on your Subject Management (SM) page and individual SM tasks and includes instructions for:

Critical to Know

  • Blue opens and closes tasks, and sends email reminders on a fixed schedule.

  • Instructors have view only access to some evaluation details such as evaluation start and end dates or stopping email reminders to self. Blue messaging may suggest you can make changes, but changes to evaluation parameters are greyed out in the user interface.

  • If you chose not to customize questions on your course evaluation, Blue may report the task as being incomplete on your SM task “card”. This is okay, you cannot add questions once SM tasks begin, Blue is just reporting the overall status of associated tasks.

Subject Management Page Overview

The subject management page provides an at-a-glance view of all activities related to your course evaluations. You can access Subject Management (SM) cards for your courses via:

  • The link in an email reminder.

  • An SM task listed in your Canvas Course Evaluations menu item or on your Blue homepage My Active Tasks list.

  • Blue homepage Subject management widget (desktop). This widget displays only if you have Ready or Live course evaluations and it may be slow to load if you have delivered many courses.

  • Blue homepage navigation menu (mobile). Access the page when you have Ready or Live course evaluations and it may be slow to load if you have delivered many courses.

  • Tasks page in Blue: Use the All filters to quickly locate Tasks type = Subject management.

For evaluations in the Ready status (staged in the Blue), you can:

  • preview the course evaluation,

  • view evaluation start and end dates and

  • access a share link or QR code.

For evaluations in the Live status (open for students to complete), you can:

  • preview the course evaluation,

  • view evaluation start and end dates,

  • access a share link or QR code,

  • monitor response rates and

  • resend invitation emails to students who haven’t completed their evaluation.

Information about individual students' evaluation completion status is not available due to the student privacy policies and guidelines set by the Office of the Provost.

Desktop Overview

SM Page Features (Desktop Display)

  1. Search bar: Perform a keyword search to locate specific evaluations.

  2. Filters: Filter evaluations by status.

  3. Sort by: Sort by the due date or course name.

  4. Status: Indicates the evaluation status. Statuses include: Ready (evaluation staged), Live (evaluation started), or Completed (evaluation ended).

  5. Evaluation details:

    1. View the number of participants invited, who started and responded to the evaluation.

    2. Learn the current repones rate on live evaluations.

    3. Use the refresh icon to get up to date response rates on live evaluations.

  6. View settings (visible in Ready status): Overview of all related course evaluation information including dates and access to share link or QR code to the specific course’s evaluation.

  7. More options:

    1. View QR Code: Copy a share link or QR Code to the specific course’s evaluation once it’s live.

    2. View invitees: Review the list of students invited to participate in the course evaluation. You may email additional system reminders on Live status evaluations.

    3. View Settings: Overview of all related course evaluation information.

  8. Reports: Access reports associated with completed evaluations.

Not shown in the sample mobile display are report icons, which appear on completed SM tasks and direct you to the corresponding course evaluation report.

Instructions for Accessing QR Codes or Share Links

SM task status must be in Ready or Live status for these features to be available.

Students may be prompted to log in and authenticate before they can access an evaluation shared with them using a QR Code / Share Link.

  1. Log in to https://my-boisestate.bluera.com/.

  2. (Desktop) Select Tasks from the navigation ribbon at the top of the screen.

  3. (Mobile) Select My tasks at the bottom of your homepage or from the main navigation menu to be directed to your tasks page.

  4. From the tasks page, use any combination of filters to locate the desired Open subject management task.

  5. Click/tap Start Now.

    1. Click/tap the More options menu (ellipses icon). (Figure 1)

    2. Choose View QR Code from the menu.

    3. Click/tap the View QR Code button.

    4. Your course specific QR code will open in a new browser tab.

Pro tips:

  • In-person courses, hybrid, or remote: Display the QR Code on the screen and have students scan and complete the survey.

  • Online posting: Follow the same steps but use the Copy icon to copy the share link then paste it into a Canvas course announcement, assignment, or personalized email to all of your students.

Include this message when sharing your QR Code: This QR code is verified by Boise State and safe to scan. Always remember to only scan codes from sources you trust.

Instructions for Retrieving Response Rates

SM task status must be Live status for this feature to be available.

  1. Log in to https://my-boisestate.bluera.com/.

  2. From the tasks page, use any combination of filters to locate the desired Open subject management task.

  3. Click/tap the Refresh icon on your SM Task card. (Figure 2) If the chart and percentage do not change, this means there have been no responses since Blue last updated (Blue updates nightly).

Pro tip: Use the Response Rate Monitor Dashboard to compare current, open course response rates to the past term(s) and endeavor to beat your record!

Instructions for Resending Invitation Emails to Students

SM task status must be Live status for this feature to be available.

  1. Log in to https://my-boisestate.bluera.com/.

  2. From the tasks page, use any combination of filters to locate the desired Open subject management task.

  3. Click/tap Start Now.

    1. Click/tap the More options menu (ellipses icon). (Figure 3)

    2. Choose View invitees from the menu.

    3. Click/tap the Resend invitation emails to all raters who have not yet submitted button. The system notification that initially goes to students when course evaluations open will automatically resend to students who have not yet completed the evaluation.
